Job Summary
The Administrative Assistant is responsible for the logistics of all MP Office activities, Coordinate and manage complex scheduling, meetings, and travel arrangements, ensuring optimal time management, supporting Awz’s Managing Partner well-being, who splits his time equally between the Toronto, NY and Tel Aviv offices and provide assistance to the MP as needed, maintaining confidentiality and professionalism at all times.
Calander and Scheduling Coordination
• Efficiently manage the MP's schedule in both Israel and Canada, ensuring effective time management and coordination of appointments and meetings.
• Prioritize with the MP the requests for meetings and serve as a “Gate Keeper”
• Manage and organize appointments and meetings, sending invites to relevant participants according to MP directions and receiving confirmations
• Responsible for coordinating meetings and their operation with relevant parties including Zoom, meeting rooms, parking, and refreshments.
• Responsible for coordinating the preparation and follow up for all meetings and visits.
       Travel Coordination
• Coordinate the Managing Partner's logistics and travel arrangements
• Booking flights with travel agents and airline companies
• Booking hotel stays and arranging transportation for duration of trip.
• Responsible for restaurant reservations, food and flower orders.
• Expense Tracking – Monitoring all expenses incurred by the MP for reimbursement, tracking logistics and travel purchases, credits, refunds, etc., utilizing tools and systems to ensure accuracy and visibility for finance team.
Additional tasks
• Handle data entry, record-keeping, and database management.
• Provide support to different departments as needed.
• Assist with event planning and coordination.

• Proven experience as an Administrative Assistant or in a similar role at the army and business company
• High Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and Google Workspace.
• Excellent organizational and prioritization skills with a demonstrated ability to manage multiple tasks while working within strict timelines
• Detail-conscious while maintaining a high degree of accuracy
• Strong written and verbal communication skills in Hebrew and English.
• Ability to work independently and as part of a team.
• Discretion and confidentiality in handling sensitive information.
• Critical thinker with a proactive approach
• Ability to multi-task and work under pressure in a fast-paced environment
• High assertiveness
• “24/6” availability
